St. Brendan’s PTO Board Meeting
October 2, 2003 minutes
Attendees: Julia Walters-Burns, Betsy Maxwell, Mary Jane

Teacher Representatives: Mrs.
Sullivan
The Board, Committee Chairs, School
Function, Enrichment Coordinators, Teacher Representatives and Guests, met in
the teacher‘s lounge. Julia called the
meeting to order at 7:03 pm.
Meeting Minutes Approval- Minutes of the September 18, 2003
meeting were approved with corrections for the following typos: under attendees
name correction to Julia Walters-Burns; under treasurers report name correction
to Maryjane; Sally Foster report was amended to say that orders should be
turned in ob 10/6/03; under Playground upgrades change to week; and Margie
Schmutz gave the Young Authors. report.
President Report (J Walters-Burns) - Due to last months discussion the
gate down by the road will now be locked during school hours and the
appropriate teachers will be given keys per Mrs. Sullivan.
There is already a fund in place to
help each grade purchase materials for their liturgy banners. Teachers need to turn receipts into the
office to be reimbursed.
Treasurer Report (M Fatigati):
The main deposits were in PTO dues. Milk and lunch accounts are now in
balance. There is some question as to
whether there is too much money in the emergency budget. Maryjane will ask if the new food has been
purchased for the emergency supply shelter.
Johnna Hobgood made a great spreadsheet
for the Sally Foster sales so a method for tracking deposits has been agreed
upon.
Principles Report (A Sullivan): The Teachers will be attending a
Teacher’s Conference on October 3, 2003.
The courtesy action for October is
going very well. The class
representatives are the first to participate in this new program. The eighth grades will make posters each
month to depict the goal or action for the month.
Mrs. Sullivan would like to see a phone
tree implemented. Julia will contact
Joan McIntosh about this project to find out where she left off and if she
would like to continue.
Mrs. Sullivan is working on a
“sister school” designation.
Banners from past liturgies have
been transferred to a “banner room” and will now be saved and reused.
Mrs. Sullivan went to a meeting
regarding the two new Eastside schools.
The Archdiocese has asked for a list of name of families on each schools
waitlist. It is felt that many schools
have the same names on them.
EE week for the fifth graders is
coming up 10/20, 21, &22.
The annual appeal is coming up on
10/11 &12.
Make-up pictures are scheduled for
10/7.
The earthquake drill is scheduled
for 10/8.
REPORTS
Fund Raisers:
Auction (S Flanigan) - The auction
chair meeting is scheduled to be on 10/7/03.
They are still looking for someone to head up the runner/spotter
committee. 50+ items have been donated
so far.
Sally Foster (C Henderson & J Hobgood) - So far families have turned in
$8,337.00 worth of orders which means a $4,711.00 profit for the school. A discussion followed about families
fulfilling their commitment. It was
decided that families not fulfilling their commitment would receive friendly
reminder and if commitment still not fulfilled names will be given to Mrs.
Sullivan.
Holiday Craft Fair (J Walters-Burns
reported) - It
was decided that there would not be an Espresso cart this year at the craft
fair.
Scrip (S Sonnen & L McCole) - Overall September sales were
$27,000.00. There is over $5,000.00 in
standing orders for each month. 74
families have purchased script. American
Express gift certificates are now available in $50.00 increments. A write-up for the weekly bulletin regarding
script be available on the school web-site will be done next week. A volunteer is needed to sell script at
conferences at the end of the month.
Committees:
Clinic (J Walters-Burns reported) - Screenings are scheduled for next
week
Hot Lunch (J Walters-Burns reported) - The new lunch program will begin
next week.
Outreach (J Walters-Burns reported) - Everything is going just fine and
Lisa appreciates everyone's hard work.
Class Liturgies (H Clancy) - Helene will be helping Julie
facilitate class liturgies this year.
She has asked that the PTO fund $50.00 per class for supplies to make
banners for the liturgies. Margie will
talk to Arlene to see what can be arranged.
Room Parents (P Harnden) - The sixth grade class is still in
need of room parents. Connie Henderson
volunteered to help.
Volunteer
Coordinator (J Walters-Burns reported) - Please make sure all summer volunteer hours are
turned in.
Technology (M Sonnen): (Report from Sally Sonnen) The network is not
working properly but Mitch will be looking into it.
Auction and Publisher software has
disappeared from the PTO room. A check
out system was discussed and will be implemented.
School Functions:
Family Nights (K Bolibol) - A family night meeting is
scheduled for 10/1/03.
The Bite of St. Brendan’s is
scheduled for 10/24 the theme will be “St. Brendan’s Marketplace”. Fourth grade is still looking for a class
coordinator. The menu will include pizza,
pretzels, Caesar salad, sundaes and root beer floats brownies and beverages.
Parish Publicity (M
Perez-Torkildson)
- Maria is working with Kay Bennett.
Memory Book (J Walters-Burns
reported) -
Lynda and Raelyn are working with the publisher to figure out a way to get more
pictures in the back of the book and still stay within budget. Raelyn is also getting a quote from KIDS
Photography to see if they could do the book.

NEW BUSINESS
It was suggested
that the PTO buy a new safe. Mrs.
Sullivan told the board that there is a safe but it needs to be re-keyed. It was decided that a locksmith should be
called.
