St. Brendan’s PTO Board Meeting
November 6, 2003 Minutes
Attendees: Julia Walters-Burns, Margie Schmutz, Betsy Maxwell, Mary Jane Fatigati, Denise Fong, Carolyn Casey, Lynn Wygant, Sally Sonnen, Kate Obrien-Rourke, Maria Perez Torkildson
The Board, Committee Chairs, School Function, Enrichment Coordinators, Teacher Representatives and Guests, met in the eighth grade classroom. Julia and Margie called the meeting to order at 7:01 pm. Margie Schmutz led all those present in a prayer.
Meeting Minutes Approval Minutes from the October 10, 2003 meeting were read and approved.
President Report (J Walters-Burns;M Schmutz) The May PTO meeting has been moved To May 13th.
Past President Report (D Fong) - Father Lawrence’s comments regarding families keeping their commitments to the school and parish were reinforced. There will be a committee on the from the school commission that will come up with a formula to help decide what level of commitment is acceptable.
The school goals that are listed in the accreditation plan will go into the next five year plan.
The Language Arts curriculum will be changing next year. A sub-committee appointed by the archdiocese will choose a selection of books for schools to choose from.
There is talk of a new school being built on the Eastside but there are some concerns about the need. Eastside schools are full but Seattle schools have low attendance.
Treasurer Report (M Fatigati):
Highlights:
1) $14, 620.00 was deposited for Sally Foster items this does not include some returned checks that need to be deposited again.
2) More reimbursement forms need to be put in the office. Some items are being delayed in getting to the treasurer.
Principles Report (Given by J Walters-Burns): The school will be turning the accreditation report into the printers this week. Everything is on schedule.
REPORTS
Fund Raisers:
Auction (C Casey) - The auction committee is still looking for volunteers to be runners/spotters for the live portion of the auction. Storage is at Carolyn’s house. She will look into the cost of a storage unit until the auction. 240 items have been donated so far.
Craft Fair (L Wygant) - 90 vendors have bought tables for the craft fair. There will be holiday music filling the parking lot and halls. A new bill & coin counter has been purchased so this should really help with the book keeping at the end of the weekend and hopefully save a lot of time. No post cards were printed this year for a savings of $250.00.
Scrip (S Sonnen) - So far $36,000 worth of script has been sold, last year at this time only $17,000 had been sold. $7,000 worth was sold during conferences. Projected year end profits will be around $15,000. It is important that they have more stock on hand going into the holiday season. PTO will “front” the money if needed. More volunteers are needed to sell at mass.
Committees:
Hot Lunch(L Wygant): Good comments keep coming in about the lunch program. We are waiting to hear from My Favorite Caterer to make sure that they are being reimbursed enough. Volunteers are needed to help prep the food every Monday and Tuesday.
Playground(K O'Brien-Rourke): There was a meeting last month research and bids for woodchips to replace the pea gravel came in around $7,000. 12 inches of chips is needed. The landscape architect needs to review area and discuss questions. Grants to help fund this program are being looked into. Steve Sizelove will generate a brief school survey to make sure we are on track with parent’s opinions on what is desired in the upgrades. PTO has asked to see a total cost estimate for the project.
Technology (S Sonnen): The auction software has been found that was missing last month, Publisher is still missing. Julia will implement a software check-out system to help prevent this problem in the future.
Enrichment:
Jr. High Play (T Clark) - There is a meeting scheduled for Tuesday for the parents of interested students. 24 out of the 26 eighth graders will audition. 18 parts are available. Auditions will be held in two weeks. The play will be The Last Gladiator. Rehearsal space has been worked out. They will use the Franciscan room in January and the gym in February. Seventh graders will be needed at the end for behind the scenes.
OLD BUSINESS
Phone Tree Update: Joan McIntosh would like to do the phone tree. She will set the goal to have it completed by December.
Safe: The cost to re-key the existing safe would cost $150.00. We can purchase a new one at Costco for $100.00
Coffee Pots: The new coffee pots have been delivered and are in the PTO room.
Babysitter List: Terri Clark will give the new list to Margie.
NEW BUSINESS
Office Printer/Copier: The Gestetner in the office died. A new copier is needed. The parish recently purchased a new one that they are very happy with. The cost of the new copier is $12,000 + $5,000 for a maintenance agreement. The school is asking for the PTO to help pay for the new copier. Some questions were brought up such as will this new copier handle construction paper and would it be more economical to lease a copier. A motion was made by Betsy Maxwell for the PTO to fund up to $4,000 if all questions are answered adequately the motion was seconded by Mary Jane Fatigati, Motion was approved.
Margie and Julia adjourned the meeting at 8:30 pm.
